The deal, in plain words.

What PaymentDue does for you, what it costs, and what each of us is responsible for. No clause here is a surprise: if something would annoy you to discover later, it is written down now.

Who you are dealing with

PaymentDue is a South African sole proprietorship, not a company. In these terms, “we” and “us” mean PaymentDue, and “you” means the person or business using it.

Email is how we would rather be reached, and it is the address a legal notice should go to. If you need our full particulars — for a dispute, or for your own records — ask, and we will give them to you.

What PaymentDue does

PaymentDue connects to your accounting system — Xero, QuickBooks Online or Zoho Books — and brings across your customers and invoices so you can see who owes you money and chase it by email.

PaymentDue only reads from your accounting system. It does not create, change or delete anything there. Marking an invoice paid, editing a customer, issuing a credit note — all of that stays in your accounting system, and PaymentDue picks up the change on its next sync.

We do not take payments. Your customers pay you the way they always have. Where your accounting system provides an online invoice page, a reminder can link to it; the payment happens there, between your customer and your accounting system, with PaymentDue nowhere in it.

Your account

  • You need to be at least 18 and able to enter into a contract, and where you sign up on behalf of a business, you need to be authorised to bind it.
  • Keep your password to yourself. Anything done from your account is treated as done by you, so tell us promptly if you think somebody else has got in.
  • You can invite other people to a company you own and give them a role. What they do is your responsibility, and you can remove their access at any time.
  • We may suspend or close an account that is being used to break the law, to send abuse, or in a way that threatens the service for everybody else. Where it is reasonable to warn you first, we will.

Reminders are sent in your name

A reminder goes to your customer, over your business's name, about your invoice. That makes the content your responsibility, not ours. In particular:

  • You are responsible for having a proper reason to email your customer, and for the wording you choose. You can edit the template.
  • Nothing is sent automatically until you switch it on. Automatic reminders are off when you start. Until an owner turns them on, a reminder goes only when somebody presses send.
  • You are responsible for the accuracy of what you are chasing. PaymentDue shows what your accounting system says; it does not audit it.
  • We may cap how much can be sent, to protect the sending reputation that every customer of ours depends on.

What you pay

R399 a month for your first company, and R149 a month for each company after it. One bill covers everything you own. Prices are in South African rand and include VAT where VAT applies.

  • The month you join in is free. Your first invoice covers your first full calendar month.
  • A month is billed once it has ended, not in advance, and the invoice counts the companies you owned at the end of it.
  • Payment is by EFT, within seven days of the invoice date. The banking details and your reference are on the invoice. We do not take card details and we hold none.
  • If we change the price, we will tell you before the month it applies to, and you are free to cancel rather than accept it.
  • If an invoice goes unpaid we may remind you, and eventually suspend the account. We will not sell the debt or hand it to a collector without telling you first.

Stopping

There is no contract period and no notice period. You can disconnect your accounting system, delete a company, or close your account from inside the app whenever you like.

Closing an account deletes what PaymentDue holds for the companies nobody else is left in — customers, invoices, the record of reminders, and the connection to your accounting system. Nothing in your accounting system is touched. Months already invoiced remain payable, because they covered service you had. We do not refund part of a month.

Availability

We work to keep PaymentDue running and we do not promise it always will. There is no uptime guarantee here, and we would rather say so than print a number we have not committed to measuring. Maintenance, an outage at a provider, or an accounting system changing its API can all interrupt the service.

PaymentDue is not your books. It is a view onto them and a way of chasing what they show. Your accounting system remains your record, and you should not rely on PaymentDue as your only copy of anything.

Where our responsibility ends

We are responsible for running the service with reasonable care. We are not responsible for an invoice going unpaid, for a customer's reaction to a reminder, for what your accounting system does or stops doing, or for a loss of profit or business that follows from any of that.

Where we are liable to you, our total liability for everything that happens in any twelve-month period is limited to what you paid us in that period. Nothing here limits liability that the law does not allow to be limited — including under the Consumer Protection Act, where it applies to you.

Your data, and your customers' data

The records you bring across stay yours. We use them to provide the service and for nothing else — we do not sell them, and we do not use one business's records to do anything for another.

Your customers' information is information you are responsible for. PaymentDue processes it on your instruction, as an operator under POPIA. The privacy policy sets out what that means in practice, what we collect, and how to get it back or have it deleted.

Changes to these terms

We may change these terms as the product changes. When a change matters to you, we will say so in the app or by email before it takes effect, and the date at the top of this page will change. Carrying on using PaymentDue after that means you accept the new version.

The law that applies

These terms are governed by the law of the Republic of South Africa, and the South African courts have jurisdiction. If a clause turns out to be unenforceable, the rest stands.
